Agenda: There was only one agenda item for this meeting, namely "Preparation for Advance". 2. Previous Minutes: Minutes of May 5, 1994 deferred. 3. New Business 3.1 Scott Nickerson attended the meeting and gave an overview of the implementation schedule: - implementation would take approx. 27 weeks or 7 months - contract to be signed in January - early March training on parameterization - 40 tables ( codes ) in the acq. module - order types to be redefined - 1 to 8 characters - only displays 6 char. on some screens - Advance has multiple circulating codes, not just CIRC or NCIRC - unlimited qualifier codes - format will relate to the item not the record - 5 levels of book location as opposed to one - fund codes - can be limited to operator - authorized orders will appear immediately in catalog - March 30th date for trial conversion - April 30th live copy of database available for testing - access to a 'real' database throughout May,June,&July - Geac training would be in May - intensive testing of test database in May - 2 people per subcommittee for 1 whole week - lab in Killam for rest of year - testers will have access to GLIS and Advance modules simultaneously on Windows - testers have to have familiarity w/ Windows environment - all Novanet sites will have access to the test module at their own library - database would be frozen between the 3rd week of June and the 3rd week of July - could order on GLIS provided you re-order on Advance when live - at "week 27" all modules would be live - tentatively 3rd week of July - Advance Implementation Schedule is on the WWW 3.2 Scott raised the issue of EDI (electronic data interchange) between the new system and vendors used by Novanet sites - Advance has EDI with Baker & Taylor - concern expressed over serials invoice interface - doesn't appear to be there for any of our vendors yet - may have to pay Geac to write loader programs - Novanet could do its own programs - could explore having vendors take the responsibility of having Geac develop the loader program - get them to do the work, and pay any fee? - could we cost-share with another Advance site? - Advance should allow for FTP invoices, or invoices that vendors can supply on disc - check with your vendors to see if they have customers using Advance Express question as: " Do you have an X12 standard invoice loader that works with Geac/Advance?" - EDI applications could involve the library's going over the Internet to the vendors - follows X12 standard - any other Advance sites using EDI 3.3 Committee members gave Scott a list of major serials vendors that we would need invoice loaders for: B.H. Blackwell's Periodicals Division Faxon Readmore Canebsco Scott will ask Geac if they have invoice loaders for these vendors in development. **** IF NOVANET LIBRARIES ARE PLANNING TO HAVE A TAPE *** **** LOAD FOR THE NEXT FISCAL YEAR, GET YOUR INVOICES *** **** THROUGH GLIS BEFORE THE END OF JUNE *** 3.4 Scott pointed-out a few features of the Advance system : - each site can customize the purchase order format - each site will do its own local printing ( on heavy duty printer ) - will probably share printer with Circ, et al - as with GLIS, reports will constitute a large part of the Acq. module and will need development at the subcommittee level 3.5 Scott took questions from the subcommittee members - version 6.0 is the version we will be getting 3.6 Scott advised the subcommittee of the time demands on trainers and testers. Testing would involve approx. 1 week, training could cover 2 months, the chair should prepare for 3 months work. David requested volunteers for testing and training. Scott requested that the names of the testers and trainers be supplied by mid-February. 4. Other Business Next task will be the parameterization training, then creation of new codes and/or mapping of old codes to new codes.
