Agenda The following addition was made to the agenda: 5.1 Advance OPACs - list compiled by Mark Bartlett 2. Previous Minutes: Minutes of May 5, 1994 approved. Correction to minutes of Jan. 19, 1995 Item 3.3. - List should include Swets 3. Business Arising EDI, BISAC, X12 serial invoices - recent documentation would seem to indicate that there are vendors other than Baker & Taylor who are capable of interfacing with Geac Advance. 4. New Business 4.1 Minutes Distribution It was agreed that minutes would be posted on the AIC-list. Those members without Internet access would have a set of minutes sent via the Novanet pouch. It was further agreed that revised minutes would not be prepared, but errors/omissions would be noted in the next set of minutes. 4.2 Use of AIC-list Besides the posting of minutes and agendas, the AIC-list would be used for conducting subcommittee business. This would give the wider Novanet community access to decisions being made by this subcommittee. The subcommittee was polled and all members present, who had Internet access, were subscribers to the AIC-list. David is compiling an e-mail distribution list of subcommittee members for the purpose of forwarding working documents, etc. The e-mail addresses of those present were collected. 4.3 Testing, Training Schedule David advised the subcommittee of the names of the members who have agreed to attend the Geac training sessions. David Manning and Alison McNair will take the parameterization training and will be part of the conversion test team. David, Linda Aiken, Peter Glenister, and Louise Mader will take OPAC, CAT, ACQ, and SER training. Peter will be our resource person for issues relating to the interaction between ACQ/SER and the CAT 'module'; and David, Linda, and Louise will be the principal trainers. The schedule for training/testing was outlined: March 1-3 ( 3 days ) Parameterization training April 24 ( 1 day ) OPAC training April 26-28 ( 3 days ) Cataloguing training May 23-26 ( 4 days ) Intensive testing of test migration May 29-31 ( 3 days ) Acquisitions training June 1-2 ( 2 days ) Serials training June 5-16 ( 10 days) Development of Novanet Acquisitions training June 19-23 * ( 5 days ) Test of Novanet training June 26-30 * ( 5 days ) Training of Acq. Subcommittee * subject to booking of room 4.4 The issue of site training was discussed. David proposed that the subcommittee receive its training the week of June 26-30. The week prior to this (June 19-23) was being set aside for testing the Novanet training that would be developed during the period June 5-16. A selected sample of staff would be used to test the training. This is not a full training session, the intent being to receive input from staff who perform the day-to-day work of acquisitions/serials. Sites wishing to supply a staff member to attend this test session can submit names to the chair. Space is limited to a total of 12. Again, this is NOT a replacement for a later training session, and participating staff should not come with that expectation. The subcommittee members were also advised to begin thinking of dates for the training of their own staffs. If you wish to use the Novanet training room, it must be booked in advance, and will accommodate only 12 persons. Smaller agencies may want to co-ordinate their training efforts and book this room together?? 4.5 Order Type Definition David noted that the first task ahead for the subcommittee was to identify the primary and secondary order types currently in use in GLIS; and to map these types to the new codes that would be used in Advance. This work would be done at the next subcommittee meeting. Scott was to supply a list of the types in use, or agencies could examine their ABSPEY report. 4.6 Parameters, Set-up Tables Mention was made of the large number of set-up tables in ACQ/SER. Acquisitions alone has over 40 tables. System parameters are set within this table structure. The issue of compiling the parameters was discussed. The idea of having a working group struck to perform this task was floated. After discussion, it was decided that the subcommittee would perform this task together at our regular meetings. 5. Other Business 5.1 Mark Bartlett distributed a list of Geac Advance library catalogues that are accessible on the Internet. He has also made the list available on Novanet's AIC homepage. 5.2 David reported on a meeting he had with Phil Smith, the Geac project manager on February 9, 1995. Scott had requested that the subcommittee chairs meet with Phil, primarily to introduce themselves. David asked what was the immediate task for the subcommittee, and was informed to have a list of order types prepared for mapping the GLIS order types to Advance. Scott was to provide a list of the types currently in use. Phil also suggested that he would follow-up the Oct. 19/93 document detailing the customization requirements that Novanet had identified for Acq/Ser. 5.3 It was suggested that we clarify with the project manager the current use of BISAC, EDI, X12, et al; and get a list of Advance sites using these technologies. 5.4 David referred to the subcommittee document Conversation with Deirdra Grime. It would appear that if an agency wants to transfer its serials to Advance, and do check-in; then the serial flag must be turned on (Y). If you have added a LVL screen this would be the case, but if you are not checking-in serials now you will have to set the flag in the online prior to migration. 5.5 David was asked to confirm our date for year-end. 5.6 David was asked to confirm what moves from GLIS to Advance. What input will the subcommittee have to the process. 5.7 Elaine Murray, AST, made enquiries about possible methods of acquiring cataloguing records for their serials, which are not catalogued. It was suggested that serials vendors often offer this service free of charge. Ilga volunteered to provide access to Bibliofile. 6. Next meeting scheduled for Thursday, March 9, 1995 1:00 p.m. at King's College Library. 7. Adjournment
