New Business [ The purpose of this meeting was to continue our review of the Setup Tables in the Acquisitions Management Guide as well as those in the Serials Management Guide . ] 4.1 Setup Tables: 4.1.1 USER PERMISSIONS The Novanet Office has asked the Acquisitions Subcommittee to develop several group permissions for the assigning of Acquisitions Module permissions to library staff. Basically, each staff member throughout Novanet will have an ID and password for use on the Advance system as a whole. Attached to this ID will be a record of the modules that this person can use and any permissions/restrictions within those modules. Establishing groups of permissions for a module saves us from having to set the permissions on an individual basis, but it doesn't prevent us from making changes to the individual permissions later. We will eventually be asked to declare which group our individual acquisitions staff members fall into when we fill out questionnaires to identify how many Novanet IDs our libraries will require. The following group codes were agreed upon: USER GROUP CODES {ACQ} [UGACC] CODE DESCRIPTION OF CODE ACQ0 Default ACQ Permissions - Level 0 [ N.B. These are permissions for staff who only require permission to display acquisitions data. These are intended for reference, collections development, and administrative staff who may want to check the status of an order, the amount remaining in a budget, the volume of business with a vendor, etc. ] ACQ2 Default ACQ Permissions - Level 2 [ N.B. OTHER BUSINESS 5.1. Report of meeting of the Novanet Chairs Committee The Novanet Chairs Committee held a meeting May 5, 1995 at the Killam Library, Dalhousie University. Mandate of the Novanet Chairs Committee 1. The chairs of the Novanet committees, e.g. Circulation, OPC, will meet as necessary to share information on the implementation of the Advance system. 2. The participants will select a chair, who could send issues directly to the Chair of the Novanet Executive. (Until June 30 Penny Marshall, after that Bill Birdsall) 3. The Committee will identify areas of common concern and work together to address these issues. The meetings will be informal, with a rotating secretary. 4. Scott will attend these meetings to answer questions and to provide information. This will be in place of his attendance at the individual committee meetings. 5. The term of the committee will end when the implementation of Advance is completed. 6. The future role of Novanet committees will be addressed by the Executive Director. Chairs could let Scott know of issues that need to be addressed at these meetings. In lieu of minutes of these meetings, chairs could report significant decisions/issues at regular meetings of their subcommittee and they could be minuted there. June 8 - 13 we can telnet into the test database. Prior to that Scott will want user permissions established and a list of the people who will be accessing the system. Permissions should be put into groups, such as 1) standard usage, 2) supervisors. Another possibility: 1) student assistant 2) normal staff 3) supervisor 4) Novanet There are various ways of providing/preventing access to functions within ADVANCE. Defaults, permissions, menus. A staff member can also enter keywords for functions not on that particular menu as long as they have permission for that function. Alias commands are available. Discussion as to who will make changes to personal screens ; Novanet staff? Committee Chairs? User names - lower case - you should chose the same as your local system user name Password - greater than six characters Scott wants the IDs by June 13th. Migration testing is for checking the validity of the conversion only. This can be done anywhere. The Novanet Training Room will be available for the Migration Test Team. Windows will be preinstalled on the 486s that we receive. Staff options will be geared towards Windows. GEOPAC can be made available on staff machines. Printing to an e-mail address will be an option of ADVANCE. Novanet will be holding a basic Windows course as well a course on qvtnet. Check with Scott. Access to ADVANCE requires an additional few commands. ID TRAIN1 PASSWORD ONE or ID train1 PASSWORD trainone Help screens can be saved. We can be creating our help screens now and transfer them to the final version. Scott would like the completed Setup Tables. He wants the tables that require entering into the system. The tables will be transferred into the test database after the test migration. Entering by ISI Office staff with proofreading by the Subcommittees is a possibility. Novanet manuals cost $800.00 per set. They are only sold as sets. Geac would sell a set to any of the consortium libraries. Copyright prevents wholesale photocopying. An applicable section could be photocopied for departmental use. Phil Smith, Geac Project Manager, doesn't read the AIC list. We can ask Chris, Novanet, for any existing GLIS reports that we require. Give him the actual name of the report. We have passed the deadline for billable items. Customized mapping of particular codes is not a possibility at this time. This includes changes to our account structure. As we are a migrating site, not a new site, the ADVANCE Code Table choices are not as open since preexisting GLIS codes are involved. The Acquisitions location codes are still an issue. What codes have we been using? What do we want to call these codes? What other codes do we need? (keep it small) Scott will do a pass through GLIS and extract existing codes for mapping. 5.2 Location Codes Discussion took place regarding the development of Location Codes. The comments coming out of the Novanet Chairs Committee were reviewed. In GLIS, Location Codes used in acquisitions matched the Location Codes used elsewhere in the system such as BPS and Circ. If GEN. was used as the Location Code on the request screen in acquisitions, then SMU /GEN. would display as the Location in the OPC. In ADVANCE, we create codes for use in acquisitions that represent valid locations. We tell the system what location our code represents by assigning these values in the Setup Tables [i.e. LOCCD]. Specifically, we define the Institution Code, Sublocation Code, Collection Code, and Call # Prefix that will be associated with each acquisitions Location Code. [[ Additionally, we can also assign a default fund and default Ship To code ]] An acquisitions Location Code can be declared for each different location that you wish to identify as having material on order. [[ Of course, there is always the option of ordering for the 'general collection' and specifying the more specific location when the item is catalogued. ]] Each library should now be developing a list of their 'ordering' locations. The Novanet Office is encouraging us to keep the list as brief as we can. The Location Code can be six characters. We will use our single letter agency prefix, so this gives each library five remaining characters to use to represent their locations in a way that will mean something when the code is used (and viewed) in the acquisitions module.
