Delinquent Patron Reports
Database Consistency Checkers
Each report is accompanied by a brief explanation of how it should be used to fix problems in the CIRC database.
- ORPHANS – ‘zz’ records only – CIRC Reserve Records
- This report lists orphaned records in the OPAC database which have the material code zz. These are generally CIRC-ON-THE-FLY and RESERVE records where the pieces have all been deleted. These bibliographic records should be removed from the database.
- Items Due with No Patron Record
- This report generally lists pieces which have been checked out, reached the BFR stage or been marked missing. For whatever reason the patron to which these items were checked out no longer exists… The procedure for correcting these problems is generally to check the items in… then mark them missing.
- Long Overdue Items with No Lost Book Block
- These items are more than 90 days overdue but do not have links to the specified patrons via Lost Book Blocks. Several problems will be observed. Some items are Checked out to the patrons but errors in the loan rules/notice sequence tables prevented the third overdue notice from triggering a BFR. Other Items are checked out against old patron barcodes… these are in limbo and may been special handling. The majority of the problems simply require marking the pieces missing to create bills against these patrons. A thorough shelf check may be in order for these older transactions…
- Books Billed as Lost against Pieces no Longer on File
- Fines Charged against Pieces no Longer on File
- These reports detail Lost Book charges and Overdue fines on the system charged against Pieces which are no longer on file. It is difficult to charge people for items which cannot be identified unless details can be found, most of these transactions should be WAIVED .
- Non-expired Patrons with No Home Institution Code
- The home institution code is an essential element in order to produce notices and statements for library patrons. Each patron should be called up in CIRC CPR and have line 15. Home Inst.. set appropriately. This is a critical field in the patron record and must not be left blank.
- Patrons with No Patron Type Code
- Self explanatory. Loan / fine policies are determined through a combination of Patron Type Code and Piece Circ Code at check out time. It is absolutely essential that every patron have field 9. Patron Code…. in CIRC CPR completed properly.
- Count of Patrons by Institution
- Count of Patrons by Patron Type
- List All Pieces with ‘On Search’ Status
- List All Pieces with ‘Missing In Transit’ Status
- List All Pieces with ‘In Transit’ Status
- List All Pieces with ‘Missing’ Status
- List All Pieces with ‘BFR/Missing Reorder?’ Status
- List All Pieces with ‘New Books – CAN NOT be Borrowed’ Status
- Number of items DUE relative to Todays Date
- Current Month to Date – Counts by Day of Month
- Checkins
- Checkouts – checkouts & renewals
- Recalls
- Renewals
- Archived Statistics (from April 1996 through previous month) – Counts by Month
- Checkins
- Checkouts – checkouts & renewals
- Holds Count Grid – by YEAR/MONTH)
